Overview

This module walks through how to use the built-in AI writing assistant in OpsDriver when creating email templates. The AI helps you generate subject lines and body content based on the purpose of the email, saving time and enhancing message clarity.


1. Navigating to Email Template Settings


Steps:

  1. Go to Company Setup

  2. Click on Email Setup

  3. Select Email Templates


From here, you can create, edit, and manage your default email communications.


2. Creating a New Email Template


Click Create New Template, then:

  1. Choose an Event Type (e.g., “Invoice Due Date”)

    • This helps guide the AI’s suggestions based on context.

  2. Add a description for internal reference (e.g., “Invoice due in 4 days”)


Once those fields are completed, additional AI-powered options become available.


3. Using the AI “Write” Button


Once the template is started:

  • You’ll see a “Write with AI” button appear next to the Subject line.

  • Click the button to activate AI support.


You can now type a prompt describing what the subject line should communicate.


Example Prompt:
“Give me an email subject about an invoice payment for a motorcoach trip being due in four days.”


The AI will return a suggested subject line, which you can use as-is or refine further.


4. AI-Generated Subject Line


After submitting your prompt, the system will populate the Subject field with the AI’s suggestion.


You can:

  • Accept the suggestion

  • Edit it for tone or specificity

  • Click again for a new version


This saves time, particularly when creating event-triggered communications like invoice reminders, quote follow-ups, or trip confirmations.


5. Additional AI Features (When Available)


TBN is expanding AI-assisted writing to other areas of the platform, including:

  • Email body content

  • Follow-up emails

  • Marketing messages
