Using booking drafts when creating a booking



Overview

This module covers how to use the Booking Drafts feature in OpsDriver, which allows sales team members to pause in-progress bookings and return to them later without losing progress. It’s ideal for multitasking and handling interruptions during the booking process.


1. Purpose of Booking Drafts


Use booking drafts to:

  • Prevent data loss when you’re interrupted mid-booking

  • Save incomplete entries without requiring full trip details

  • Return to unfinished work without starting over


2. When to Use This Feature


Common Scenarios:

  • You start building a quote but get a call from another customer

  • You need to leave a booking to answer an urgent email or task

  • You’re waiting on customer details and want to return later


3. How to Save a Booking Draft


Step-by-Step Instructions:

  1. Start a new booking in OpsDriver.

  2. Enter the following minimum required fields:

    • Primary Contact

    • Trip Reference

  3. Once these fields are added, a booking number is created and the draft is automatically saved.


Note: You can leave the page or navigate elsewhere—your draft is preserved.


4. Retrieving a Booking Draft


To Resume an Unfinished Booking:

  1. Go to Sales > Bookings Report.

  2. Click View Booking Drafts.

  3. Select the draft you want to continue.

  4. Resume where you left off—add stops, vehicles, pricing, etc.


5. Benefits of Booking Drafts

  • Time-saving: No need to restart or re-enter data

  • Error reduction: Minimizes the risk of forgetting partial entries

  • Workflow flexibility: Helps multitask effectively during sales and quoting


Best Practices

  • Add a clear trip reference to easily identify drafts later.

  • Clean up old or unused drafts regularly.

  • Use drafts as a tool to handle leads that are still forming or awaiting final details.
