Creating bookings that did not come from quotes


Overview

This module explains how to create a new booking directly—without starting from a quote—in OpsDriver. This approach is useful when you already have confirmed trip details or are booking on behalf of a recurring client.


1. Starting a New Booking


Steps:

  1. Go to the Sales header

  2. Click on the Bookings subheader

  3. Select Create a New Booking


2. Adding Contact Information


You’ll be prompted to select or enter the customer contact:

  • Begin typing to search for a saved contact or select from the dropdown

  • This autocompletes and fills the primary contact field

  • Optional: Assign an Operations Contact or Billing Contact if different from the primary contact


If no separate contacts are needed, the system will copy the primary contact into all fields.


3. Entering a Trip Reference


Add a Trip Reference — a label to describe or identify the trip internally (e.g., “EO Smith – Six Flags”).


Click Save as Draft to start building the booking.


4. Building the Route


Steps:

  1. Click to add your first pickup location

  2. Use the Google Maps-integrated search to find addresses quickly

  3. Enter trip dates and times


The system auto-calculates:


  • Spot time

  • Departure from yard

  • Arrival times

  • Return time (if using the “Return Directly to Origin” button)


Notes:

  • Updating one stop’s departure or arrival will automatically update subsequent times

  • Rounding behavior (e.g., to nearest 5 or 15 minutes) is controlled in your account settings


5. Assigning a Vehicle and Pricing

  1. Click Add Vehicle

  2. Choose the vehicle type

  3. The system will auto-calculate a price

    • To override: Click the Edit button next to the price

  4. You can also add add-ons (e.g., Wi-Fi, bottled water) at this stage


6. Finalizing the Booking

  1. Click Finalize

  2. Review the summary and confirm:

    • Booking details

    • Optional booking category (for reporting or accounting)

    • Uploaded documents (e.g., itineraries)

  3. Click Create Booking


7. What Happens Next

  • The booking is now finalized

  • It includes:

    • Customer info

    • Route details

    • Assigned vehicle

    • Price and add-ons

  • You’re ready to dispatch or send booking confirmations to the client


Best Practices

  • Use “Create Booking” when you already have a firm commitment or detailed itinerary

  • Keep trip references consistent for repeat clients

  • Always double-check routing and pricing before finalizing

  • Use booking categories for better reporting when applicable
