CHEAT SHEET- Building Driver Relief Movements

Building Driver Relief Movements in TBN's OpsDriver

Driver Relief can be a complicated part of the booking process. With TBN we give you tools to make it easier.

How OpsDriver helps with Relief Movement Building-

  1. copy and split route functionality makes the building of the needed routes much easier than starting from scratch.
  2. hiding routes from dispatch makes it easy to decide what the customers see vs. what operations see.
  3. Hiding routes from customer documents and billing allows you to build complex relief movements without confusing customers.

What we will cover in this Cheat Sheet-

  1. Building a route that a customer will see
  2. Hiding the customer facing route from dispatch.
  3. Copying that route for operational purposes.
  4. Hiding that copied route from customer documents and billing.
  5. Splitting that route into 2 movements for relief purposes.
  6. Using hide start and end yard from dispatch to properly visualize what is happening on the move.
  7. Copying those routes to build the outbound and inbound swap car routes.
  8. What dispatch will see on the dispatch reports.
  9. What drivers will see in the driver portal.

Relief Scenario

For the purposes of this tutorial we will use the following scenario.
A group decided to do a one-way trip from Connecticut to South Carolina with no overnight stop. This is 1720 miles and on the outbound leg will require a driver positioned for relief in Fredericksburg, Virginia.

The following graphic outlines how this relief will be built.

Customer Facing Trip-

In this case the customer ordered a trip from a school in Connecticut with a direct route to another school in South Carolina. The only change made by the sales team, knowing that the trip would require driver relief, is they added a stop at the relief location of Fredericksburg VA. This addition allows the sales team to not only educate the customer on the need for a driver relief according to the FMCSA HOS rules but also to justify the cost of the trip (either in increased total cost or a direct add-on) for the relief component. In the booking document below you can see how this is being displayed to the customer (in a scenario where add-ons were used for the cost of the relief).

Managing Visibility of routes-

TBN Gives you a lot of options when it comes to managing who sees what and when. This is a brief overview of those functions-

On The Route Detail Page-

  1. Relief Assignment: This changes how the trip looks on the dispatch screens so that those moves can be easily identified visually.
  2. Hide from customer: This removes the route information including vehicles, stops, and details from customer facing documents and the customer portal.
  3. Hide from Invoice: This removes the financial component of the route from any invoices that are generated.
  4. Hide From Dispatch: This allows you to hide the routes that have been created to summarize a movement for customers from dispatch when they are replaced with relief movements that cover the move.
  5. Hide Spot Time: This hides the spot time for the movement in cases where that information is not relevant to the route.

On the Edit Stops Modal-

Hide from dispatch on the edit stops modal for both departure and return yard
  1. Hide from Dispatch: By default trips depart from a yard and return to a yard. There are times, particularly when building relief, that a route may not leave from, or return to, a yard. This gives you the ability to hide those segments of the route from dispatch so that the moves accurately represent the reality of the moves.

Using the Copy Route function to build relief dispatches

Now that the customer has what they need it is time to give operations a realistic view of what needs to happen to operate this trip. We will start by using our copy route function to duplicate the customer facing route. The following video will show you how to copy the route and to change the visibility so that dispatch has what they need to run the trip but that customers are not confused by the addition of additional movements to their itinerary.

Splitting the route to build both outbound Motorcoach Legs

In this video we will walk you through how to use our split route functionality in conjunction with the planned relief location to split the route into the two legs of the trip that include the motorcoach allowing different drivers to be assigned to each leg.

Copy Route, and subsequent adjustments, to build the outbound and return "swap car" legs.

The next step in the process is to copy the outbound motorcoach routes and adjust them to represent the needed swap car legs that include the FMCSA HOS mandated Off Duty hours. This video will show you how to quickly and easily copy, adjust and save those legs.

Overview of the completed booking that includes relief assignments-

In this video we will go over what the completed booking looks like that included the relief assignments and we will look at what the drivers portal will show.
