Cancelling Bookings or Dispatches



Overview

This module covers how to cancel a full booking or an individual dispatch in OpsDriver. It also explains how cancellations impact pricing, vehicle/driver assignments, and system reporting—and how to restore cancelled items if needed.


1. Purpose of Booking & Dispatch Cancellation


Use this functionality when:

  • A customer cancels their trip

  • Only part of a multi-route trip needs to be canceled

  • You want to preserve system accuracy by clearing financial and assignment data


2. Cancelling an Entire Booking


Step-by-Step Instructions:

  1. Go to the Bookings tab.

  2. Select the booking you want to cancel.

  3. Click the Cancel Booking button in the top-right corner.

  4. Review the confirmation message:

    • All dispatch assignments will be cancelled

    • Driver and vehicle assignments will be removed

    • All prices and add-ons will be set to zero

  5. Choose whether to send a cancellation email to the customer.

  6. Click Yes to confirm.


Note: This action will zero out values for reporting clarity but retain the booking record in the system.


3. Restoring a Cancelled Booking


If you need to reverse a cancellation:

  • Click Restore Booking on the cancelled booking screen

  • All dispatches, pricing, vehicles, and drivers will be reinstated


4. Cancelling a Single Dispatch (Not the Full Booking)


Use Case:


When a booking has multiple routes or dispatches and only one needs to be cancelled.


Instructions:

  1. Go to the Dispatch Main Report.

  2. Locate the dispatch you want to cancel.

  3. Click into the dispatch to open its details.

  4. Click Cancel Dispatch.

  5. Confirm the cancellation:

    • Driver and vehicle assignments will be cleared

    • Pricing for this dispatch will be zeroed out

  6. Click Yes to finalize.


Note: This will not affect other dispatches or the overall booking.


5. Restoring a Cancelled Dispatch


To undo a dispatch cancellation:

  • Click the green Restore Dispatch button on the dispatch screen

  • All related data (pricing, vehicles, drivers) will be restored


Best Practices

  • Always double-check whether you need to cancel the entire booking or just one dispatch

  • Use cancellation emails to notify customers and maintain transparency

  • Utilize the restore functions when cancellations are made in error
