Converting a Quote to a booking




  1. Overview

    This module walks through how to convert a quote into a finalized booking within OpsDriver. Quotes may originate from your internal sales team or from the web quote widget on your company’s website.


    1. When to Convert a Quote


    You’re ready to convert a quote when:

    • Customer contact information is filled in

    • Route, vehicle, and add-on details are selected

    • The customer is ready to confirm and move forward


    2. Opening the Quote


    Sources of Quotes:

    • Submitted through your website’s quote widget

    • Created directly by a sales representative


    Open the quote you’d like to convert.


    3. Review Quote Details


    Before converting, confirm that:

    • The route is correct

    • The vehicles and add-ons are selected

    • customer contact is present (or ready to be added)


    4. Convert the Quote


    Step-by-Step Instructions:

    1. Click Convert to Booking.

    2. If no primary contact is assigned, search for an existing one or create a new contact.

      • You only need a primary contact

      • The system will auto-copy this person into the operations and billing contact fields (unless customized)

    3. (Optional) Select:

      • Booking Category (for reporting/accounting purposes)

      • Salesperson responsible for the booking

    4. Confirm trip details:

      • Route

      • Vehicle(s)

      • Add-ons

      • Quotation total

    5. (Optional) Attach or confirm an itinerary.

    6. Click Create Booking.


    5. What Happens Next

    • The quote becomes a booking with the same ID number.

      • Example: Quote #97 becomes Booking #97

    • All trip, pricing, and vehicle information carries over.

    • You now have access to all booking tools:

      • Collect payments

      • Send confirmations

      • Distribute booking PDFs

      • Add commissions or notes

      • Prepare dispatches


    6. Key Benefits

    • Maintains consistent reference numbers for easy tracking

    • Prevents re-entry of data

    • Provides a seamless transition from inquiry to confirmed trip


    Best Practices

    • Always double-check route, pricing, and contact info before conversion.

    • Use consistent naming or tagging for sales contacts and categories.

    • Inform customers that their quote number will remain the same after conversion.
