Creating Quote Variations in the Admin Portal

Overview

This module explains how to use the Quote Variations feature in OpsDriver. Variations allow you to present customers with multiple options for the same trip—such as different vehicle types, schedules, or pricing scenarios—without re-entering all the customer details.


1. What Are Quote Variations?


Quote Variations are alternate versions of the same quote, allowing flexibility in:

  • Vehicle options

  • Itinerary choices

  • Pricing levels


Each variation:

  • Shares the same quote reference number

  • Uses an incremental suffix (e.g., 26-1, 26-2) to distinguish variations


2. Where to Find the Variation Tools


Location:

  • Inside any active quote, at the top of the page


Available Options:

  • Copy Variation

    • Duplicates everything: customer info, trip details, vehicles, and add-ons

  • New Variation

    • Copies only the customer information

    • All route, vehicle, and add-on sections are blank—ideal for building a brand new scenario from scratch


3. Creating a Copy Variation


Steps:

  1. Click Copy Variation

  2. The system creates a new variation (e.g., 26-1)

  3. You can now:

    • Edit the route

    • Remove or swap vehicle types

    • Adjust pricing

    • Modify add-ons


This method is useful for offering “good, better, best” options to customers.


4. Creating a New (Blank) Variation


Steps:

  1. Click New Variation

  2. The new variation is created with only the customer/contact information

  3. Begin building:

    • Add stops

    • Assign vehicles

    • Apply add-ons


This is best used when the trip concept is the same customer but a completely different plan.


5. Presenting Variations to the Customer

  • All variations are accessible under the same quote reference

  • You can email them one or more variations

  • The customer sees each variation numbered and labeled for easy comparison


Best Practices

  • Use Copy Variation for minor changes (e.g., switch vehicle type or time)

  • Use New Variation for major rework (e.g., totally new route or service style)

  • Keep the original variation intact for reference or fallback

  • Clearly label or describe each variation in the notes or subject line
