📘 Training Module: Managing Bookings on the Bookings Dashboard

🎯 Objective

This module will teach users how to effectively manage and track bookings using the TBN Bookings Dashboard. By the end of this training, users should be able to:

  • Confirm trip details

  • Track signed confirmations

  • Monitor payment status

  • Filter and prioritize bookings that still need attention


📋 Outline

1. Navigating the Bookings Dashboard

  • Location: Sales > Bookings

  • View a sortable list of bookings in descending order by Booking ID

2. Confirming Trip Details

  • Use when the customer has finalized their itinerary

  • Timestamped confirmation for accountability

  • Visual indicator: booking row highlights green

3. Filtering Unconfirmed Bookings

  • Use the “Hide Confirmed Bookings” checkbox to focus on pending actions

4. Tracking Signed Confirmations

  • Requires “Sign & Pay” feature enabled

  • Customer e-signatures stored under the booking’s Financial > Contracts section

  • Visual indicator: green checkmark in the “Signed Confirmation” column

5. Verifying Payment Status

  • Easily check whether a booking is:

    • Paid in full

    • Invoiced

    • Outstanding

  • Helps prioritize follow-ups and ensure readiness

  • ✅ Signed confirmation received

  • ✅ Payment completed



✅ Step-by-Step Instructions

1. Accessing the Bookings Dashboard

  1. Log in to your TBN account.

  2. Navigate to Sales > Bookings.

  3. You’ll now see your Booking Dashboard showing all current bookings in descending order by ID.


2. Confirming Trip Details

  1. Click on a booking to view its details.

  2. Scroll to the Trip Details section.

  3. Click the â€œConfirm Details” green button.

  4. A prompt will appear—click â€œYes” to confirm.

  5. The system will:

    • Timestamp the confirmation

    • Show who confirmed it

    • Highlight the row in green on the dashboard


3. Filtering Unconfirmed Bookings

  1. On the Booking Dashboard, check the box labeled â€œHide Confirmed Bookings.”

  2. This filters out all bookings with confirmed details, helping you focus on pending trips.


4. Checking for Signed Confirmations

  1. Ensure Sign & Pay is enabled for your organization.

  2. After sending a booking for signature:

    • The customer signs electronically

    • Signature is stored under Financial > Contracts

    • Timestamp and initials for disclaimers/terms are recorded

  3. Once signed, the booking will display a green checkmark under â€œSigned Confirmation.”


5. Reviewing Payment Status

  1. In the Booking Dashboard, review the â€œPayment Status” column.

  2. Statuses you may see:

    • Paid in Full: booking is complete and ready to go

    • Invoiced: payment pending

    • Unpaid: action needed


6. Final Checklist for a Ready Booking

For a booking to be considered fully prepared:

  • ✅ Confirm Details has been clicked

  • ✅ Signed Confirmation has a green checkmark

  • ✅ Payment Status shows Paid in Full

When all three are in place, the booking is ready for operational execution.
