Managing Invoices


Overview

This module explains the multiple ways to manage invoices in OpsDriver, including access from contact and organization records, the financial dashboard, and AR aging reports. It empowers users to track outstanding balances, send or void invoices, and follow up on past-due accounts.


1. Viewing Invoices from a Contact Record


Steps:

  1. Go to Sales > Contacts.

  2. Search for and click the contact (e.g., Buddy Cloney).

  3. Scroll to the Invoices and Payments section.


You’ll see:

  • A list of all invoices tied to this contact

  • Amount PaidAmount Outstanding, and Invoice Total

  • Options to filter invoices by date, hide paid/voided invoices


Clicking on any invoice brings you to the Invoice Detail Page, where you can:

  • Review invoice information

  • Send or void the invoice

  • Process a payment


2. Viewing Invoices from an Organization Record


Steps:

  1. Go to Sales > Organizations.

  2. Select the organization (e.g., Faber University - Athletics Department).

  3. Scroll to the Invoices section.


You’ll see the same invoice visibility as on a contact record, plus:

  • Export options (PDF or CSV)

  • A consolidated view of all invoices tied to members of that organization


3. Accessing the Invoice Report for Company-Wide View


Steps:

  1. Go to Financial > Invoices.


This view includes:

  • All invoices across your company

  • Sorted in descending order by invoice date

  • Visibility into open, paid, and voided invoices


Available Actions:

  • Click into any invoice to view, pay, send, or void

  • Filter by:

    • Organization

    • Contact

    • Invoice Date Range

    • Grouping (e.g., by org or contact)


This report is ideal for a high-level overview or quick access to recent activity.


4. Using the AR Aging Report for Collections


Steps:

  1. Go to Reports > Accounting > AR Aging Report.


This tool helps you:

  • See all open invoices and how far past due they are

  • View total outstanding amounts

  • Quickly identify:

    • Current invoices

    • 30, 60, 90+ day overdue invoices


Actions:

  • Export to PDF or Excel

  • Click into any overdue item to view the invoice

  • Use the report to guide collections outreach
