Marking vehicles as sold out or limited availability


Marking Vehicles as "Sold Out" or "Limited Availability" 


Overview

This module explains how to use the Pricing Calendar in OpsDriver to manually mark vehicle types as Sold Out or flagged as having Limited Availability. These settings control what customers see in the Booking Widget and help prevent overbooking on high-demand dates.


1. Where to Access the Setting

  1. Go to Sales > Pricing Calendar.

  2. Select the calendar view by date.

  3. Click into any specific date cell for the desired vehicle type.


You do not need to recreate the entire template to adjust these settings—you can modify each day individually.


2. Marking a Vehicle as Sold Out


Steps:

  1. Find the row for the vehicle type (e.g., 56-Passenger Coach).

  2. Click the checkbox under the Sold Out column for the target date.

  3. Your selection is automatically saved.


Effect:

  • The vehicle will show as “Sold Out” in the Booking Widget.

  • Customers cannot select that vehicle type for that day.

  • It helps avoid overselling during peak or black-out dates.


3. Marking a Vehicle as Limited Availability


Steps:

  1. Instead of Sold Out, check the Limited Availability box.

  2. This selection also saves automatically.


Effect:

  • The widget will show a “Limited Availability” banner for that vehicle.

  • Customers can still select and request a quote, but are alerted that supply is tight.

  • This is useful for encouraging early booking or manual sales review.


4. Updating Individual Days in a Template


If a pricing event was created from a template, you can still:

  • Click into an individual date

  • Make unique changes to availability or markup

  • These overrides do not affect other days created from the same template


This is helpful for managing last-minute fleet adjustments, maintenance issues, or special events.


Best Practices

  • Use “Sold Out” to completely prevent bookings when you’re at capacity.

  • Use “Limited Availability” to soft block and alert customers that inventory is low.

  • Review your pricing calendar weekly during peak season to stay ahead of capacity concerns.

  • Always double-check availability before enabling live pricing for high-demand dates.
