Overview

This module explains how to schedule availability for part-time drivers in OpsDriver using the Driver Scheduling tool. This ensures drivers are only shown as available during the hours and days they actually work, helping prevent scheduling conflicts.


1. Purpose of Part-Time Scheduling


Part-time availability helps:

  • Prevent accidental over-scheduling

  • Clarify which drivers are available for morning-only or limited shifts

  • Provide a clear visual on the Dispatch and Driver Availability boards


2. Accessing Driver Scheduling


Step-by-Step Instructions:

  1. Go to Operations > Driver Scheduling

  2. Click Add New Driver Schedule Event


3. Select the Driver

  • Use filters to sort drivers by yard or location if needed

  • Select the specific driver you want to assign a schedule to

  • Click Next


4. Define the Part-Time Schedule


Choose “Add to a Date Range” to create a recurring schedule:

  1. Set the start and end dates (e.g., today through 1 year and 1 month from now)

  2. Add a description (e.g., “Part-time AM shift”)

  3. Set the available time window:

    • Example: 5:00 AM to 12:00 PM

  4. Select days of the week this schedule applies to:

    • For example, Monday through Friday


Click Create Scheduling Event


5. What Happens Next


After saving:

  • The schedule appears on the Driver Scheduling Calendar

  • On the Driver Availability Board:

    • The driver’s name will appear as grayed out before and after their scheduled availability

    • This visual cue helps dispatchers avoid assigning them outside of their work window


6. Conflict Prevention in Dispatch


If you attempt to assign a trip that overlaps with the driver’s unavailable hours:

  • You’ll see a grayed bar indicating the driver is not available

  • This helps prevent accidental conflicts during dispatching


Best Practices

  • Set part-time availability using long-term date ranges to reduce repetitive data entry

  • Use descriptive names for schedule entries (e.g., “Mon–Fri AM Shift”)

  • Review the Driver Availability Board weekly to ensure proper coverage
