Payroll- Other Assignments


Overview

This module covers the setup and use of Other Assignments—non-dispatch tasks like PTO, training, and miscellaneous duties that need to be recorded for payroll but do not involve actual trip dispatches. These assignments are batch-friendly and avoid tying up vehicle or dispatch resources.


1. What Are Other Assignments?


Other Assignments are tasks that:

  • Do not involve a dispatch

  • Are not tied to a vehicle or route

  • Typically include:

    • Paid Time Off (PTO)

    • Training sessions

    • Internal administrative duties

    • Non-revenue vehicle movements


Using Other Assignments:

  • Keeps your dispatch schedule clean

  • Allows for easy batch entry of employee time

  • Supports accurate payroll processing


2. Creating Other Assignment Types


Before you assign anything, define your assignment types:


Step-by-Step Instructions:

  1. Go to Company Setup > Other Assignment Types

  2. Click Add New Assignment Type

  3. Set:

    • Name (e.g., “PTO” or “Training”)

    • Code (e.g., “PTO”)

    • Default Pay Rate Group (optional)


The default pay rate group will auto-fill for new assignments but can be changed later.


3. Creating Other Assignments


Navigation:


Go to Operations > Other Assignments > Assignments


You have two options:

  • Date Range Assignments: For things like full-week PTO

  • Specific Date Assignments: For single training days or irregular tasks


A. Assigning by Date Range

  1. Choose a start and end date (e.g., May 3–May 9)

  2. Select the days of the week to apply the assignment

  3. Choose the Assignment Type (e.g., PTO)

  4. Add the time range (e.g., 8:00 AM to 4:00 PM)

  5. Select one or more drivers

  6. Click Create Assignments


The system will generate one assignment per selected driver per day.


B. Assigning by Specific Dates

  1. Open the calendar selector

  2. Click on each specific date (e.g., training dates)

  3. Repeat the same steps above for type, time, and driver selection


4. Reviewing Other Assignments


Once created:

  • Navigate to the assigned date range

  • View all entries listed by driver

  • Assignments will display scheduled times and assigned pay rate groups


You can:

  • Edit start/end times

  • Change pay rate groups

  • Modify or delete incorrect entries


5. Payroll Processing for Other Assignments


Unlike dispatches:

  • Scheduled times are used by default in payroll

  • Actual times can be added manually if needed

  • You are not required to update actuals unless the recorded time differs from the scheduled


Examples of when to adjust:


  • Training ran short or long

  • PTO hours changed due to schedule changes


6. Benefits of Other Assignments

  • Avoids cluttering dispatch schedules

  • Accurately accounts for all work time in payroll

  • Easily managed in batches, saving time


Best Practices

  • Use standardized naming and codes for assignment types

  • Set default pay rate groups to reduce errors

  • Batch entries weekly to streamline payroll prep
