Using Options in Quotes


Overview

This module explains how to create multiple vehicle or pricing scenarios—called Options—within a single quote. This allows customers to compare choices (e.g., different vehicle types) without requiring you to create multiple quotes.


1. What Are Quote Options?


Options let you:

  • Offer the same itinerary with different vehicle types or add-ons

  • Avoid duplicating quote data when a customer requests alternatives

  • Give customers a side-by-side pricing comparison in one PDF


2. When to Use Options


Use this feature when a customer says:

  • “What would this trip cost with a school bus instead of a motor coach?”

  • “Can you show us the difference between luxury and standard service?”

  • “We might want to split this into multiple vehicles—what would that look like?”


3. How to Add an Option to a Quote


Step-by-Step Instructions:

  1. Open the existing quote.

  2. Scroll to the Vehicle Info section.

  3. Click Create New Option.


This:

  • Clears the vehicle section while keeping all itinerary details

  • Creates a new option tab (e.g., “Option 2”)


  1. Name each option clearly (e.g., “Option 1: 56-Passenger Motor Coach” and “Option 2: School Bus”).

  2. Assign a different vehicle or add-on to the new option.

  3. Click Save.


The system will automatically calculate the price based on the new selection.


4. Sending Options to the Customer


When you send the quote:

  • The PDF will display the itinerary once

  • Each option will appear below with:

    • Vehicle type

    • Price

    • Any add-ons


This lets the customer compare and choose without you sending multiple quotes.


5. Converting a Quote with Options into a Booking


When the customer selects an option:

  1. Click Convert to Booking.

  2. The system will ask:

    • “Which option(s) would you like to include?”

  3. You can select:

    • One option

    • Multiple options (if the customer wants to book both)


Only the selected option(s) will be booked.


6. Benefits of Using Options

  • Streamlines communication with clients

  • Reduces duplicate quote creation

  • Improves customer satisfaction with clear, side-by-side choices

  • Saves time for the sales team


Best Practices

  • Always name your options clearly (e.g., “Charter Bus Only”, “School Bus with Luggage Trailer”)

  • Limit to 2–3 clear options to avoid overwhelming the customer

  • Confirm customer choice before converting to booking
