Overview

This module walks through how to set up and send booking confirmations using email templates in OpsDriver. It includes how to configure your booking detail email template and how to send booking confirmations directly from a completed booking.


1. Setting Up the Booking Confirmation Template


Steps:

  1. Navigate to Company Setup

  2. Click on Email Settings

  3. In the Booking Details Template section:

    • Choose “Booking Confirmation” from the dropdown

    • Click Save


This uses one of TBN’s pre-built email templates, pre-populated in most accounts. You can also create a custom template if desired.


2. Creating a Custom Email Template (Optional)


If you prefer to use a custom template:

  1. Navigate to the Email Templates section

  2. Click Create New

  3. Configure subject line, body content, and placeholders

  4. Save and assign it to the booking confirmation dropdown

3. Sending a Booking Confirmation to a Customer


Steps:

  1. Go to a completed booking

  2. Click the Send Booking Detail button

  3. A send window will open where you can:

    • Confirm or change the email recipient (automatically set to the primary contact)

    • Choose to include a PDF attachment of the booking details

    • Click Continue

  4. The next screen will show:

    • Your preloaded email content from the template

    • Options to edit the sender, recipient, or message content

  5. Make changes if needed

  6. Click Send


Once sent, the customer receives a branded, professional booking confirmation with or without the booking PDF.


Best Practices

  • Use the TBN default booking confirmation for quick setup

  • Always review the email content before sending

  • Keep templates up to date with your company’s branding and terms

  • Test sending to an internal contact before launching to customers
