Testing your online booking widget for the first time


Overview

This module provides a step-by-step guide for testing the TBN SalesDriver Booking Widget. It walks through initial configuration settings, pricing validation, calendar adjustments, and quote review rules—ensuring that the widget functions as expected before going live.


1. Verify Key Settings Before Testing


General Account Settings

  1. Go to Company Setup > General Settings > Account Settings.

  2. Ensure “Show Prices” is checked:

    • If unchecked, customers will never see prices until a rep sends the quote manually.

  3. Review Quote Review Settings:

    • These settings define when quotes are sent automatically and when they require manual review.

    • Defaults may include:

      • More than 6 vehicles

      • More than 2,000 total miles

      • More than 500 miles per day

      • More than 3 days

      • Price exceeding $20,000

      • Trips beyond a future date threshold (e.g., 6 months)


2. Check Vehicle Visibility and Pricing

  1. Go to Company Setup > Vehicle Types

  2. For each vehicle:

    • Confirm Hide from Customer View is unchecked (unless used only for dispatch)

    • Set the correct sort order for how vehicles appear in the widget

  3. Confirm the pricing strategy:

    • Hourly/Mileage Comparison: Includes daily minimums, hourly rates, and mileage rates

    • Cost Plus: Uses a base rate with additional hourly and mileage charges after included thresholds

  4. Only one pricing strategy should be active per vehicle type.


3. Set Up and Verify Pricing Templates

  1. Navigate to Sales > Pricing Calendar > Templates

  2. Review or create templates (e.g., Peak, High Demand, Low Demand)

  3. For each template:

    • Assign applicable vehicle types

    • Apply markups (e.g., 25%)

    • Optionally set vehicle status as Limited Availability

  4. Save and confirm templates are ready to apply to the calendar.


4. Add Pricing Events to the Calendar

  1. Navigate to Sales > Pricing Calendar

  2. Use drag and drop or “Add to Calendar” to apply pricing templates to selected days

  3. Calendar markup will impact live pricing shown to customers


5. Test the Booking Widget (Standard Quote)

  1. Open the Booking Widget

  2. Enter a test trip that stays within your quote review thresholds

  3. Enter:

    • Departure and return time

    • Trip locations

    • Passenger count and vehicle type

  4. Continue through the quote form and submit

  5. Confirm:

    • Pricing is shown instantly

    • Vehicle status reflects Limited Availability if set

  6. Review the quote in your dashboard and verify:

    • Pricing breakdown via the eye icon

    • Any associated markups from the calendar or vehicle settings


6. Test a Quote That Triggers “Call Us” Review

  1. Repeat the process but exceed a review threshold (e.g., request 8 vehicles)

  2. Submit the quote and confirm:

    • Customer sees a “Please Call Us” message

    • Quote Reference ID is displayed

  3. In the dashboard, open the quote and verify:

    • The reason for manual review is listed

    • Pricing was still calculated (but not displayed to the customer)

    • You can view all breakdowns, including markups and add-ons


7. Send a Quote Manually

  1. From the quote screen, click Follow-Up

  2. Select a default email template

  3. Add your email address for testing

  4. Click Send and confirm that the customer receives the quote email


8. Fine-Tuning Pricing Post-Test


If adjustments are needed:

  • Go to Company Setup > Vehicle Types

    • Edit vehicle pricing rates

  • Go to Sales > Pricing Calendar > Templates

    • Adjust markups or daily minimums


This allows real-time tuning of pricing logic to ensure accuracy.


Best Practices

  • Test both normal and reviewed quotes before launch

  • Check how demand events affect quote output

  • Ensure pricing strategies are clearly understood and consistently applied

  • Confirm all add-ons and extras display correctly in the quote summary
