Tour Vendor Setup

TourDriver allows you to setup vendors and associated tour costs with those vendors when building tour itineraries. This video will show you how to set them up. 

Overview

This module explains how to add and manage tour vendors in the TBN TourDriver module. Vendors can include third-party service providers such as hotels, casinos, attractions, or external bus companies associated with a tour.


1. Where to Add Tour Vendors


Steps:

  1. Go to the TourDriver module

  2. Click on the Vendors subheader under the Tours tab


This will take you to the Vendor Management screen.


2. Viewing Existing Vendors


On this page, you’ll see a list of previously created vendors. Examples include:

  • Casinos

  • Hotel partners

  • Other bus companies

  • Internal cost tracking entries (e.g., “Miscellaneous Internal Costs”)


Each entry includes:

  • Vendor name

  • Type or category

  • Address

  • Contact information


3. Creating a New Vendor


Steps:

  1. Click the “Create New Vendor” button in the upper-right corner

  2. Fill out the vendor details:

    • Name (e.g., Bear Mountain Inn)

    • Category (e.g., Lodging)

    • Address (type to auto-complete from Google Maps)

    • Optional Notes (e.g., “Used for January ski trips”)

    • Contact Information:

      • Name (e.g., Joe Johnson)

      • Email address

  3. Click Save


Your new vendor will now appear in the master list and be available for use in itinerary building.


4. How Vendors Are Used in Tours


Once vendors are created, they can be:

  • Linked to itinerary stops

  • Associated with expenses or payments

  • Displayed on internal documents for driver or operations use


This helps consolidate all third-party information in one central place.


Best Practices

  • Use clear, specific vendor names (e.g., “Bear Mountain Inn – Lodging”)

  • Add internal notes for staff reference (e.g., “Use for February package deals”)

  • Keep contact info updated for smoother communication

  • Use vendor entries to track recurring tour partnerships and associated costs
