Overview

This module explains how to generate and use the Wash Schedule Report in OpsDriver. This report helps your wash crew prepare for incoming vehicles based on their return time and upcoming dispatch needs.


1. Purpose of the Wash Schedule Report


The wash schedule is used to:

  • Identify which vehicles are returning to the yard on a specific day

  • Determine when those vehicles are next assigned to a trip

  • Prioritize cleaning based on turnaround time and trip urgency

  • Add notes or inspection tasks for your wash team


2. How to Access the Report


Step-by-Step Instructions:

  1. Go to Operations > Dispatch

  2. On the Dispatch Main Report page, locate the orange button labeled:

    Prepare Wash Schedule


3. Customizing the Report Criteria


When you click Prepare Wash Schedule, the system will prompt you to enter filters:

  • Data Source:

    • Bookings only

    • Scheduled service

    • Or all dispatch data

  • Vehicle Type (optional):

    • Select specific vehicle categories

  • Base of Operation (optional):

    • Filter vehicles assigned to a specific yard or location


You can skip these filters if you want a full yard-wide report.


4. Required Fields to Generate the Report


At minimum, you must select:

  • Date – The target return date for vehicles

  • Overflow Hours – How many hours into the next day the system should look to catch late arrivals

    • Example: Use “2” to capture vehicles returning up to 2 AM the following day


5. Viewing and Using the Excel Report


After clicking Generate, the system downloads an Excel spreadsheet that includes:

  • List of returning vehicles

  • Whether they are assigned to another trip

  • Next trip departure time

  • Duration of next trip

  • Customer name

  • Editable fields for:

    • Additional notes

    • Inspection results

    • Wash instructions


This spreadsheet is designed to be:

  • Printable for handoffs to the wash crew

  • Editable for real-time note-taking and tracking


6. Best Practices

  • Generate the report daily for the next day’s wash planning

  • Use overflow hours to catch late-night returns

  • Share the spreadsheet with wash crew leads at end of day

  • Record comments or follow-up notes directly in the Excel file
