Yards and Vehicle Inventory


Overview

This module covers how to configure yards (dispatch points) and assign vehicle inventory to those yards in OpsDriver. Proper yard and vehicle configuration supports accurate trip pricing, vehicle assignment, and availability reporting.


1. Setting Up a Yard


Yards are physical locations where your vehicles are dispatched from.


Steps:

  1. Navigate to Company Setup

  2. Click on Yards

  3. Click Create New Yard

  4. Enter:

    • Yard Name

    • Use the auto-complete address field to populate the address

  5. Click Save


Each yard represents a distinct point of dispatch for your vehicle fleet.


2. Adding Vehicles to a Yard


You can add vehicles directly from the Yard View.


Steps:

  1. In the yard view, click Add Vehicle

  2. Enter the following:

    • Vehicle ID

    • Number of seats

    • Active status


The yard is automatically selected based on the yard you’re in.


3. Adding Vehicles from the Inventory Page


Alternatively, you can add vehicles independently of the yard setup.


Steps:

  1. Navigate to Vehicles > Inventory

  2. Click Create New Vehicle


This opens a vehicle entry form without yard pre-selected, allowing for more flexible configuration.


4. Why Yards Matter


Assigning vehicles to yards is important for:

  • Inventory accuracy: Ensures you’re pulling from the correct location.

  • Pricing tools: TBN’s Pricing Calendar and Base Pricing Engine calculate miles and hours based on yard-to-stop routing.

  • Trip quoting: Ensures vehicle availability and pricing reflect real-world fleet positioning.


5. Additional Vehicle Details


While the basic required fields are:

  • Vehicle ID

  • Seat count

  • Active status

  • Assigned Yard

  • Vehicle Type


You can also include:

  • Amenities

  • Notes

  • Maintenance details


These details enhance dispatching, sales, and reporting but are optional during initial setup.


Best Practices

  • Create a yard for every distinct dispatch location

  • Always assign vehicles to their primary yard—even if they’re occasionally relocated

  • Keep vehicle status updated (active/inactive) to ensure clean reporting

  • Use vehicle notes and amenities to aid sales and dispatch
