Seeing what trips are scheduled is easy with our TourDriver reports. 

Overview

This module explains how to use the Tour Date Report to review, assign, and manage dispatches for tours. This report helps operations teams monitor driver and vehicle assignments for specific tour itineraries and dates.


1. Where to Access the Tour Dispatch View


Steps:

  1. Go to the TourDriver module

  2. Click on the Tour Date Reports tab


This view provides a snapshot of dispatches scheduled for each tour date, grouped by itinerary.


2. Using the Tour Date Main Report


The main Tour Date Report shows:

  • A list of dispatches associated with tours for a selected date

  • Each row includes:

    • Tour name (e.g., “Bear Mountain Weekday Trip”)

    • Start and end times

    • Driver and vehicle assignments (if made)


You can change the date at the top of the screen to view dispatches for any upcoming tour.


3. Assigning Drivers and Vehicles


From the report:

  • If a vehicle or driver has not yet been assigned:

    • Click directly into the respective cell

    • Choose from the list of available drivers or vehicles

  • Once assigned, the driver and vehicle info will populate and be visible for that tour


This lets you dispatch directly from the report without navigating back to the Dispatch Main Report.


4. Key Use Case: Same-Day Dispatch Review


If you’re managing tours scheduled for today or tomorrow:

  • Use the Tour Date Report as a real-time checklist

  • Ensure all tours have full coverage

  • Make any last-minute adjustments to assignments


Best Practices

  • Review the Tour Date Report daily to ensure all tours are fully staffed

  • Use this view to coordinate with the Dispatch team on vehicle availability

  • Filter by date or tour type to simplify the view for busy periods

  • Assign dispatches early to avoid conflicts or last-minute issues
